§ 9300 TIME-OFF POLICIES

§ 9301 Paid Time-Off.

Because we recognize the importance of vacation time in providing the opportunity for rest, recreation, and personal activities, UHCSSD grants annual paid time off to its full-time regular employees.  The amount of vacation to which employees are entitled depends on the length of service as of anniversary date, as follows:

Accruals for full-time Regular non-exempt employees begins on the day they become eligible for all benefits.  The payroll manager will payout from the PTO bank if the employee has completed the PTO Request Form which requires the supervisor’s signature.  Requests should be made two weeks in advance.  PTO cannot be used during a two-week notice.  A two-week notice is required to pay out remaining PTO at termination.  The Director may approve a PTO payout for special circumstances. An employee terminated for cause is not eligible for PTO payout.

§ 9301.01 Paid Time-Off Carry-Over.

PTO may be taken as time accrues at any point during the year after their 30th day employed and is eligible for benefits.  UHCSSD employees may carry over up to 160 hours of PTO at the end of each calendar year.  Salaried-exempt employees may carry over up to 300 hours of PTO at the end of each calendar year.

§ 9301.02 Pay in Lieu of Paid Time-Off.

Employees are requested to take their earned PTO.  No payments will be made in lieu of taking PTO, except for accrued unused PTO at the time of termination if a two-week verifiable notice is given to the employee’s supervisor.

 § 9301.03 Holiday Within PTO Period.

In the event that a holiday observed by UHCSSD falls within a scheduled PTO period, that holiday will not be counted as PTO time but rather as a holiday.

§ 9301.04 PTO Scheduling.

PTO may be taken as weekly periods, as individual days or as hours as long as the periods chosen meet with departmental approval. Employee should submit a PTO request form to supervisor at least two weeks prior to the date employee wishes PTO to begin.  All direct care nursing staff are required to request leave 30 days in advance, otherwise the employee is required to fill their scheduled shift.

§ 9302 Holidays.

UHCSSD provides paid time-off to all full-time employees on the following holidays each year.

If a holiday falls on a Saturday, typically employees will observe the holiday on the preceding Friday.  If a holiday falls on a Sunday, typically the holiday will be observed on the following Monday.  The observed day may be determined by the Executive Director.

When a holiday occurs during an employee's vacation leave, it will not be charged against the accrued PTO leave.
